Administrative Assistant

 

Supervised By:  Senior Pastor

 

Supervisory Responsibilities: None

Job Summary: Provide general clerical services to support church operations. Attend to visitors and deal with inquiries on the phone and face to face. Supply information regarding the church to visitors and the general public. Assure information is communicated timely to the pastoral staff and Board members as needed.

This is a part-time position.

Duties and Responsibilities:

  1. Answer telephone, screen and direct calls;

  2. Take and relay messages to Senior Pastor, other church staff, Board members and others in a timely manner;

  3. Provide information to callers as appropriate regarding church hours and services;

  4. Greet persons entering organization;

  5. Deal with queries from the public and visitors, including relaying the request to the Senior Pastor as indicated;

  6. Maintain a high level of confidentiality;

  7. Maintain information filing systems both paper and electronic, updating with approval of Senior Pastor;

  8. Provide general administrative and clerical support as directed by the Senior Pastor;

  9. Prepare letters and documents;

  10. Receive and sort mail and deliveries;

  11. Schedule appointments for the Senior Pastor and, as indicated, Board members;

  12. Retrieve information as requested from records, email, minutes, and other related documents, and prepares written summaries of data when directed;

  13. Records and distributes minutes or other records for meetings;

  14. Maintains office supply levels and coordinates maintenance of office equipment;

  15. Maintains a system for recording expenses and the use of petty cash;

  16. Maintain appointment diary either manually or electronically;

  17. Prepares agendas and schedules for meetings;

  18. Maintain the office area in a clean and neat manner; and,

  19. Performs other related duties as assigned.

Qualifications/Education and/or experience Required:

  • High school diploma required. Associates Degree preferred

  • Knowledge of administrative and clerical procedures.

  • Knowledge of computers and relevant software applications.

  • Knowledge of customer service principles and practices.

  • Keyboard skills.

SPECIAL REQUIREMENTS:

  • A clear testimony of saving faith in Jesus Christ

  • Agreement with the Statement of Faith and the core values of Christ’s Church of the Valley, in    accordance with God’s word.

  • Possession of a valid Colorado Driver's License with reliable transportation and applicable car insurance.

 

PHYSICAL REQUIREMENTS:

  • Ability to regularly sit, stand, stoop, bend, kneel, walk, balance, crouch, crawl, push, pull, reach with hands and arms, talk and hear.

  • Ability to frequently use hands to finger, handle, or feel. 

  • Ability to occasionally climb. 

  • Ability to frequently lift and/or move up to 15 pounds.

 

 WORK ENVIRONMENT:

  • Work is normally performed in a typical interior/office work environment.

  • The noise level in the office work environment is usually low to moderate.

  • There is no or very limited exposure to physical risk.

 

TRAVEL:

This position does require minimal local driving on errands required to meet duties outlined above.
